Longarm Services Policies

Quilt Readiness

All quilts must be fully pieced, pressed, and ready for quilting before being accepted into the queue. Quilts are not added to the quilting schedule until:

1. The intake form has been submitted

2. The $55.00 deposited has been submitted and;

3. The quilt has been physically received.

Quilts requiring preparation or correction may result in additional charges or delays.

Deposits & Cancellations

The $55 deposit is non-refundable once your quilt has been received and scheduled, as it covers time reserved and initial setup.

If you need to cancel before your quilt is received, please contact me as soon as possible. Deposits are non-refundable once a quilt has been received, regardless of cancellation reason.

Turnaround Time

Current turnaround time is 3–4 weeks from the date your quilt is received.

If you have a deadline within 30 days, please email tgappareldesigns@gmail.com to confirm availability before submitting your quilt.

Quilt Dimensions & Pricing

Quilt dimensions must be provided in inches.
Measurements that include fractions (¼, ½, ¾, etc.) will be rounded up to the next whole inch for pricing purposes.

Maximum Quilt Size

My 12-foot longarm frame can accommodate quilts up to approximately 120 inches wide. Quilts that are unusually shaped or exceed this width may not be able to be loaded safely. Please contact me before booking if you are unsure.

Batting

Batting is charged by the linear inch, cut from queen-size rolls, unless a special-order batting is requested.

➡️80/20 batting is available

➡️ Special-order batting may affect pricing and turnaround time

➡️All batting trimmings will be returned with your completed quilt

Backing Requirements

Backing fabric must be larger than the quilt top to allow for proper loading and quilting.

➡️Cotton backing: at least 8 inches wider and 8 inches longer

➡️Minky, fleece, or other non-cotton backing: at least 10 inches wider and 10 inches longer

Backing must be pressed and squared. If backing does not meet size requirements, quilting may be delayed and additional charges may apply.

Non-Cotton Backing Surcharge

Quilts with minky, fleece, or other non-cotton backings are subject to a $20.00 non-cotton backing surcharge due to additional handling and time required.

Nap direction must be clearly marked.

Backing Construction / Extension

Backing construction or extensions are available for an additional charge, based on quilt size and fabric provided. You will be contacted with a quote for approval before work begins.

Complimentary Quilt Label

A complimentary embroidered triangle quilt label is available upon request.
Heat n Bond Lite will be applied to the back of the label, and instructions will be included.

Labels are not applied to the quilt and will be returned unattached for the customer to apply.

Shipping & Insurance

If local pickup is not arranged, quilts are returned via USPS or UPS at the customers expense with:

➡️$100 of insurance

Additional insurance may be purchased upon request and will be added to the final invoice. Once shipped, responsibility transfers to the carrier.

Payment

Invoices are emailed once quilting is complete:

➡️Wave for local drop-offs

➡️Shopify for mailed-in quilts

Accepted payment methods:

➡️Credit card

➡️Bank transfer

➡️Cash or check (local clients only)

Payment is due upon receipt unless otherwise arranged.

Quilt Care & Limitations

Machine quilting cannot correct issues such as fullness, puckers, uneven seams, improperly measured borders, unsquared quilt tops, or misaligned points.

If significant issues are found, quilting will pause and you will be contacted. If we cannot reach you in a timely manner, your quilt may be moved down the queue until resolved.

Quilts that exceed equipment limitations may be declined or returned at the client’s expense.

Liability

T&G Apparel Designs is not responsible for damage or loss caused by events beyond our control, including fire, flood, theft, or mechanical failure.

Longarm machines are mechanical devices. While properly maintained, unexpected malfunctions may occur, and this risk is accepted when using our services.

Photography & Usage Rights

By default, permission is granted for T&G Apparel Designs to photograph quilts for promotional use. Clients may opt out via the intake form. Opting out does not affect service quality.
